A new version of ContaxCRM was released this morning.  This release is necessary because a lot of structural changes are being made to ContaxCRM in preparation for new functionality and I didn’t want to wait and release a large complex update.

The new modules are not yet complete and are only available during the Trial.  They should be considered Beta, liable to change and will be available to existing customers in a forthcoming release of ContaxCRM.

The changes in this 3.5.0 release are listed below:

Adding Contact Images in ContaxCRM

On your ContaxCRM Overview window you may have something that looks a little bit like this:

This is really simple to do.  There are several ways I could have designed this but the method I finally decided on was to store the image outside of the database, in a standard folder in the ContaxCRM folder hierarchy.

So, for you to add images to your contacts you need to make a note of the contacts ID Number. This is a unique number that ContaxCRM automatically applies to every contact in the ContaxCRM database. There are several places to view the ID number but the simplest is probably to look at the ContaxCRM window titlebar with your contact currently selected.

Having made a note of your contacts ID number, look in your ContaxCRM data folder, by default this is in the Documents folder of your computer. For Multi-User installations it will have been placed in a centrally accessible location by your System Administrator.

In the ContaxCRM folder will be an Images folder.  In the Images folder you place your contact image file having renamed it as CONTACTIDNUMBER.png (eg: 1128.png)  and made sure that the image type is PNG.

That is all that is necessary for ContaxCRM to find and display the image for your contact.

Importing Existing Data

Version 3 of ContaxCRM is provided with an additional application called ImportCRM. This application can be found in the ContaxCRM/SupportApplications folder on Mac OSX and on Windows it can be found in ContaxCRM\SupportApplications.

ImportCRM has two main sections which you can see on the image [I_IMP01].  Standard Imports are available from the first section and the second section is where any custom / bespoke import routines will be available.  Arten Science will write any custom imports you require for prices starting from £70.  Contact us for further details.

Compatibility

ImportCRM will run on either Windows 7, Vista, XP or Mac OSX 10.5+. ImportCRM will import into either the single user SQLite database or the multi user MySQL database. A Linux edition of ImportCRM can be purchased at additional cost.

Within section 1 of the Import Options you can see two options. [I_IMP02]  We’ll deal with the second one first:

Apple Address Book Import

If you are not using a Mac then feel free to skip straight to the next section as this one is a waste of time for you ! Importing from the Apple Address Book is very simple.  Select the Type, the Category and the Classification for the contacts you are about to import.  Do this using the drop down lists as shown in the image: [I_IMP03]

Click the load button and your Address Book information will populate the list on the right hand side of the window. Click the Commit button.

Any Table Import

[I_IMP04] This option allows you to import directly into any of the database tables from any data source that is contained in either a Tab Delimited or CSV file.  Most software can export it’s data into one or both of those standard formats.

These are the steps to follow for a successful import:

  • 1. Click the Load button and select the file you wish to import
  • 2. Click the Table to import into (in the example – the Contacts table
  • 3. Double Click the Columns that you wish to populate
  • (… in the order that matches your import file)
  • 4. Click the Validate button
  • 5. Click the Commit button

The import will probably only take a few seconds and if all went well you will be informed that the import was successful.
